Minutes of Committee meeting held 4th December 2006 @ 6.30pm, Scenic Cellars, Taupo.

General Business;

Membership fees

Membership fees for 2007 to be reviewed – and are to increase to $15/ individual

Adults: Cycling Club $15.00 Children school age: Cycling Club $ 5.00
Cycling NZ $15.00 Cycling NZ $15.00
Total $30.00 Total $20.00

Family: $55.00 per family of 2 adults & school age children

This includes a $15 club fee and a BikeNZ charge of $15 for a Club licence and proportionally more for upgrading the individuals racing licence’s ie a centre licence, National Licence or International.

Fees for the BikeNZ are on their web site

The web site added / cel ph for text for members to be added to membership forms
JW to draw up new membership forms.

Membership drive – give people a reason to join the club and racing licences what is the procedure for dealing with these

New members are to contact Janet (Treasurer ) and membership guidelines to be published on club web site.

Benefits, MH to develop proposed benefits and send to JW in a 7 days

Club events

Events co-ordinator:

The club is to investigate the possibility in employing an Events Co Ordinator to run some club events. This position would be approximately 10 – 15 hrs/ week

Suggested that we advertise in paper but first a job description should be developed.
This would include arranging events, time keeping , co ordinate events, STMS, schools, membership drive, sponsorship. Funding could be by Wins Self found sponsorship, pub charities.
MH to contact sports Waikato as to what sort of support we can get.
Next meeting to have a plan formed -How and why

Club signatories for Taupo Cycling Club accounts

Signing rights for club accounts, three new people to be approved to replace the two existing signatories

These are to be :

Cycle Challenge

Cycle Challenge organisation to be invoiced a sum of $5000 as fee for Lake Taupo Cycle challenge for 2006.

Club Constitution

(The in-coming committee should discuss the main points and obtain some legal advice from Alan Vane (lawyer) who developed the constitutions for the other clubs.
Once a draft club constitution is in place it is to be placed on the club web site for general review.
It was felt that there needs to be a constitution in place for the safety of the club in whole and due to the increasing funds and assets that the club is building up.) “AGM 06”

ML to look at the Rotary Club’s constitution and compare / improve. Will report back by next meeting.

Scholarships

Suggested ideas where scholarship’s for younger up and coming cyclist, employing a person to run an event for the club.

Clothing

Club Clothing where is it and what is there?
John Robson to be contacted re clothing

Taupo Race Track

Wall painting - 270 litres of paint in six hours at race track, Trevor Stevens, Peter Booman and Mark Halewood to be reimbursed at $20/hr ea (as per Nov meeting) Race track thrilled with result.
Total of $180 each, money to be sent to MH for distribution.

Velodrome

Napier track race day 28th Nov up to 20 people came from Napier for an introduction to track racing, successful day with only one going to hospital, they are looking to come up again in two weeks and are looking to continue this over the summer- it was felt that the Taupo riders would get priority on any equipment but we would encourage and foster new rider.

Track keys – Chris Henderson has received a key and one to be given to Willy Atkin who also assists on Wednesday nights.

Chris Henderson will start Monday session starting at 4 – 6 pm and will draw up a program of events and trips to Auckland/ NI for racing.

Purchase of new track bikes larger sizes 56, 58, 60 cm
MH to find quote / sponsorship

Log books to be kept to show usage / damaged (tags) so there is a record of which ones are being used.

Tuesday night racing

Tuesday night time keeping roster – List of volunteers to be drawn up

The club was asked to phone the race track ( Paul Fallon) on Tuesday mornings to check if race track is clear as extra work is taking place on the circuit to get it ready for the A1 use of the track.

Sunday Rides

After Xmas change 9.00 am bunch to 8.00 am and start two groups a fast and slow group.

Education needed on bunch rules for the rides especially for new riders. A poster is to be drawn up as to bunch rules and sent to all cycle shops and web site.

SD to develop

Social Event

New Year social event held at Plateau in New Year possibly a Sunday BBQ after a Sunday ride.
