Minutes of the meeting of the Taupo Cycling Club held at Scenic Cellars on Monday 17 September 2007, 6.30pm.
PRESENT: Mike Langley, Graeme Usher, Janet Wilkinson, Mike Rendall, Sheryl Duncan, Susan Watson. APOLOGIES: Chris HendersonMike Langley thanked Graeme Usher for Day/Night Thriller organisation held at Spa Park on Saturday 15 September 2007. Also thanks to Brad for loan of generator. 1.? ? ? ? MATTERS ARISING FROM LAST MEETING OF 13 AUGUST 2007.?
- Mark Gibson has things moving along with development squad and may seek a Lion Foundation grant in a joint proposal with the Tri Club.
- Correction to last minutes being only one new large size track bike supplied and delivered to the velodrome container, not two has stated.
- New Web site design looks good, changes to make; no Sunday ride at 9am.
- Newspapers need to be changed also; no Sunday ride at 9am.
- All riders happy with Sunday 8am start.
- Sheryl mentioned and the committee discussed there are still some riders that do not wish to be going at 8am with the faster riders. Should we have a more structured schedule of rides for riders of all abilities? It is hard to know who is going to turn up and what their ability and fitness level will be. Sunday rides are for all abilities and it is difficult to manage and organise. Sheryl to research web sites and see what other cycling clubs offer.
- Mike Langley advised that Mr Anderson is here to check the timing system, Mike will continue to follow up.
- Mike Langley has contacted the Taupo Times and Taupo Weekender to change the club and committee contact details.
- Sheryl Duncan reported that the club logo could be expensive to redesign, we could ask Digithink to have a look at redesigning.
- Sheryl has placed a notice in the local paper advertising the AGM to be held on Monday 15 October 2007.

GENERAL BUSINESS?
- The Taupo/Napier race is on Saturday 22 September 2007, Mike has received an e-mail from Ivan Aplin, they have 29 entries to date, riders can enter online only. Organisers are expecting entries to increase on the day. Taupo Cycling Club to provide a couple of volunteers to marshall and drive vehicles. Mike Rendall is available as a medic or to drive the lead vehicle. Hawke’s Bay Ramblers Club provides cones and signs for the event. Mike Langley to ensure Kaimanawa Reserve toilet block will be open. If helping on the day, need to meet at start (in the Taupo District Council carpark) between 8am and 9am for the 10am start. Mike Langley to provide a folding table and chairs. If volunteering as a driver, you need to use your own vehicle and will be reimbursed with petrol money.
- Club Nationals – 18 – 21 October 2007 – To be held in Karaka/Kingseat, South Auckland. Entries need to be in by 27 September 2007. To date entries from Taupo include Mike Langley and Christine Day. Entry is open to all grades; anyone interested should see Bike NZ website. Club would prefer to see Taupo entrants wear a club shirt and entrants need a national licence to enter.
- Tuesday Track – Mike Rendall is happy to continue time keeping until daylight saving begins. John Cooper takes a school group of riders to the track during the week at about 4pm, this is going well. Craig Greenwood as offered to have a christmas barbecue at the workshop near the entrance to the track, club will issue cups, Sheryl to see Mark Gibson about prizes and also club may purchase further prizes to be handed out, details to follow.
- Janet Wilkinson to contact Patrick Bevin re container keys. Mike Langley has had two more sets of container keys cut and the are presently held by Top Gear, Patrick Bevin, Chris Henderson and Mike Langley.
- Graeme Usher suggested this Sunday (23 September 2007) the ride be Tram 1 and 2, being Tram 1, SH 5 to SH1 and Tram 2 SH 2 to Tirohanga Road.
- Mike Langley reported that Bike Taupo are keen to put together a map of the district cycle routes with distances and possibly leaving from a central point, the Information Centre. Graeme Usher has a map of roads and distances and will provide to the club to submit to Bike Taupo.
- Graeme Usher and Mike Langley going to Hawke’s Bay to do the Tour of the Bay on 14 October 2007 if anyone interesting in car-pooling.
- Sheryl Duncan suggested the e-mail database might need updating. Mike Langley stated that if membership form completed and signed by current members this covers the club under the Unsolicited Electronic Messages Act 2007.
- Secretary to send e-mail to members advising them to check website for results and upcoming events and include a link to Taupo Cycling Club in e-mail, this should avoid messages from cycle club being regarded as spam. Graeme Usher suggested Bike NZ should forward a calendar of events to be posted on local cycle clubs websites.
- Sheryl Duncan provided samples of Ultimo shorts and cycle tops and a copy of a new design that could be printed and used as club clothing. Prices would be available when design chosen and order confirmed. Sheryl has remaining club clothing, mostly large sizes left. Janet Wilkinson suggested we sell at cost to get shirts out there, not necessary for club to make any profit.
- Mark Gibson has had trouble sourcing a training program for the youth development squad. Mike Langley may have a contact and be able to provide a web site for further details.
- 2007 AGM – Constitution to be adopted at this years AGM. Alan Vane has reviewed a copy of the Taupo Mountain Bike Clubs constitution, we will adapt this to suit the Taupo Cycling Club, Mike Langley to liase with Alan Vane about this and have a copy ready in time for the AGM on 15 October 2007. Susan Watson and Janet Wilkinson to compile treasurers report to be presented at the AGM and arrange refreshments.
